Shift Tags

Overview

Shift tags in FlowRota allow managers and employees to label scheduled shifts, overtime, and timesheet entries with descriptive tags that represent specific duties or roles. Each shift can have an unlimited number of tags.

Tags help provide visibility across teams and can be useful for reporting, analytics, or ensuring that key duties are evenly distributed across staff.

Adding tags to shifts

Managers can add tags directly to scheduled shifts or overtime items while creating or editing them. Tags can also be applied automatically when a clock card or timesheet entry is approved.

When an employee clocks in or logs hours through a timesheet, they can select from existing tags associated with their team’s shifts. These tags will then be applied to their shift once their clock card or timesheet entry is approved.

You can add tags to the shift manager modal when creating or editing a shift.

Tag availability

The list of available tags shown when an employee clocks on or submits a timesheet depends on the tags that already exist within that team. If no other shifts within the team contain any tags, no tags will appear as selectable options.

To make tags available for employees to select, ensure that at least one scheduled shift in the team includes tags. Once added, those tags become available across all clock-on and timesheet modals for that team.

Managing tags effectively

To maintain consistency, managers should use a clear naming convention for tags — such as duties (“Cleaning”, “Stocking”, “Customer service”) or areas (“Front desk”, “Kitchen”, “Bar”).

Tags can be edited, added, or removed when updating scheduled shifts, allowing flexibility as team structures or responsibilities change.
