Does FlowRota support GPS clocking?
Yes — staff can clock on and off with GPS from their smartphones, plus a terminal option for on-site clocking.
Can I enforce local working-time laws?
FlowRota flags shifts that break rest or minimum break rules so managers can adjust before publishing.
How is leave calculated?
Leave is derived either from contracted hours, accrued hours worked, or set manually. TOIL from overtime can also be used for paid time off.
How much does FlowRota cost?
FlowRota costs £1 + VAT per user per month. The first 60 days are free, and you can cancel at any time — no hidden fees.
Can staff swap shifts?
Yes, staff can request swaps with colleagues, and managers can approve or auto-assign replacements.
Can managers track absences and lateness?
FlowRota allows managers to track absence, lates, no-shows, and even generate return-to-work forms.
Can I manage leave limits by team or job role?
Yes — set limits per team or per job title, and staff will see restrictions when making leave requests.
Do shifts support different pay rates and tags?
Yes, shifts can have multiple pay rates (1x, 2x, etc.) and custom tags for duties. Notes can also be added for each shift.
Are there notifications for shift updates?
Users receive email or push notifications for new shifts, changes, or reminders.
Is FlowRota GDPR compliant?
Yes — all staff data is securely stored and can be exported upon request.
Does FlowRota handle public holidays?
Yes — public holidays are automatically included, and you can configure how contracted staff are affected.
Can I use FlowRota on mobile and desktop?
Absolutely — staff can use the app on smartphones for clocking, leave requests, and shift management, while managers can access the full rota on desktop.
Can I save templates for recurring rotas?
Yes — templates save time and reduce errors when creating future rotas.
Is there document storage for staff?
Each user has 2GB of secure storage. Documents can be personal or shared with a team.
How will FlowRota know my employees' historic data?
FlowRota will ask you how many hours each employee has worked in the current leave year when you set up their account. This will ensure that leave balances are accurate from day one.
